Bookkeeping tips for busy small business owners (that actually work)

June can feel like a whirlwind, with the school year finishing next month, client work picking up, and holidays on the horizon, it is no wonder bookkeeping can get pushed to the bottom of the list.

But the longer you leave it, the bigger it feels. That is why I’m sharing some simple, time saving tips for small business owners that make bookkeeping feel more manageable, even when life is full on.


1. Set a 30-minute weekly slot


Block out 30 minutes each week in your diary to focus on your numbers. Treat it like any other appointment. In that time, you could:


  • Reconcile your transactions in your accounting software.

  • Upload receipts to the matching transactions.

  • Check who still owes you money and chase any overdue invoices.


If you do this regularly, it will help you to stay in control.


2. Use a simple folder system


Whether you are using a spreadsheet or are using accounting software, a folder system can save you lots of time:


  • June 2025 receipts

  • Paid bills

  • To upload


Keep everything in one place, either in your accounting software or on your computer.


3. Scan receipts as you go


Apps like Hubdoc (Xero’s own receipt tool) let you scan and upload receipts in seconds. You can do this at the end of each working day or while you’re having your morning coffee.

Make this part of your routine, like checking emails or updating your to do list.


4. Automate what you can


Setting up automations in your accounting software can means less manual work and fewer mistakes. This is something I help my clients do in a Power Hour.


5. Get organised with your self assessment


If you’re self-employed, don’t wait until January.  Doing your tax return early means:


  • You know exactly how much tax you owe

  • You’ve got time to plan and save

  • You avoid the January stress
